Billing, cancellation & refunds

Last updated: October 14, 2026

This page explains how paid Grantboard plans are billed, how to change or cancel them, and when refunds apply. It forms part of our Terms of Service.

1. Who sells the subscription

Grantboard is operated by OVERMATCH OÜ (“Grantboard”, “we”, “us”), a private limited company registered in the Estonian Business Register under code 17564126, with its registered address at Tartu mnt 67/1-13B, 10115 Tallinn, Harju County, Estonia. Contact: hello@grantboard.co.

Grantboard subscriptions are sold to organizations, such as foundations, DAOs, charities and companies, for use in their professional activities. The service is not offered to individuals for personal or household use.

2. Plans and prices

  • Free: no charge, up to 3 grants. No payment method is needed.
  • Starter: $99 USD per month, up to 25 grants.
  • Foundation: $499 USD per month, unlimited grants.
  • Enterprise: custom pricing and terms under a separate written agreement, which takes precedence over this page where they differ.

Prices are in US dollars and exclude taxes. Your invoice shows the total charged. Current prices are always listed on the pricing page.

Checkout asks for your billing address and, if you have one, a tax ID such as an EU VAT number. These details are saved to Stripe for your invoices. The billing or business name entered at checkout is used for invoices. Tax treatment depends on your location and tax status.

3. Payment and automatic renewal

  • A workspace administrator starts a paid plan from Settings → Billing. Payment is taken through Stripe Checkout, a payment page hosted by our payment processor, Stripe.
  • Subscriptions are billed monthly in advance, in US dollars. Each subscription renews automatically at the end of every monthly period and the payment method on file is charged, until it is cancelled.
  • Card and other payment details are entered on Stripe's pages and processed by Stripe. Grantboard does not receive or store full card numbers.
  • Invoices, receipts and payment methods are available from Settings → Billing → Manage subscription, which opens Stripe's customer portal.

Subscription fees are the only payments Grantboard processes. Grantboard does not execute, hold or transmit grant payments; you make those yourself.

4. Changing plans

Upgrades take effect straight away, and the difference for the rest of the current period is charged on a prorated basis. Downgrades take effect at the end of the current paid period. Existing grants stay available. If your open grants exceed the new plan’s limit, you can add another after completing or cancelling a grant, deleting an unused draft, or upgrading.

5. Cancellation

  • A workspace administrator can cancel at any time from Settings → Billing → Manage subscription.
  • Cancellation takes effect at the end of the current paid period. The paid plan stays available until then and no further renewal charges are made.
  • When the period ends, the workspace moves to the Free plan. Your grants and records are kept; creating new grants is limited to the Free plan allowance.
  • Cancelling a subscription does not delete your account or data. Account deletion is a separate action under Settings → Your data, described in the Privacy Policy.

6. Failed payments

If a renewal payment fails, Stripe retries it and we show a notice in Settings → Billing so an administrator can update the payment method. If the payment is still outstanding after the retries end, the subscription ends and the workspace moves to the Free plan.

7. Refunds

Fees are charged in advance for each monthly period and are not refundable, including for partially used periods, unused grant capacity or a downgrade or cancellation during a period, except where applicable law requires a refund.

If you believe you were charged in error, for example a duplicate charge, contact us at hello@grantboard.co with the invoice number. We will review the request and refund charges we confirm were made in error.

8. Questions

Billing questions: hello@grantboard.co. Please include your workspace name and, where relevant, the invoice number. Never send card details by email.
